Ian Ross Fitness respects your privacy. This policy explains what personal information we collect, why we use it and the choices available to you.
Information we collect
When you request a free guide, apply for or book a Strong Start call, complete the Strong Over 50 Roadmap Calculator or submit a form on our website or through a Meta platform such as Facebook or Instagram, we may collect your name, email address, phone number and the information you choose to provide. Call application information can include your goal, main obstacle, intended start time, realistic weekly commitment and call preference. Roadmap Calculator information can include your age, height, weight, waist measurement, visually estimated body-fat range, training experience, available training time, general activity and estimated calorie intake. To understand which marketing is useful, a submitted enquiry may also include limited source information such as campaign labels, the website page used and the referring website's domain; it does not include your browsing history.
How we use your information
We use your information to:
- send the guide or information you requested;
- send relevant fitness guidance and follow-up emails where you have consented;
- respond to enquiries, arrange appointments and send one reminder where a requested appointment has not yet been completed;
- calculate and review an indicative body-composition planning range and save that assessment with your enquiry in our private CRM; and
- understand and improve our website, advertising and services.
Our lawful basis
We generally rely on your consent when sending marketing emails. We may also process information where it is necessary to respond to your request or for our legitimate interests in operating and improving Ian Ross Fitness. You can withdraw consent at any time by using the unsubscribe link in an email or by contacting us.
Service providers
We use trusted providers to operate our website, forms, appointment booking, email delivery, analytics and advertising. These may include Netlify, Google Analytics, Calendly, MailerLite and Meta. They process information on our behalf or under their own privacy terms, and information may be processed outside the United Kingdom with appropriate safeguards.
How long we keep information
We keep personal information only for as long as needed for the purposes described above, to meet legal obligations or until you unsubscribe or ask us to delete it, unless we have a lawful reason to retain it.
Your rights
Under UK data protection law, you may have the right to access, correct or delete your information, restrict or object to its use, and receive a portable copy. You may also withdraw consent and complain to the Information Commissioner's Office.
Cookies and website data
Netlify provides server-side visitor and pageview statistics. With your permission, Google Analytics and Google Ads use cookies and device or advertising identifiers to measure website activity and whether an advert leads to a confirmed call booking. These services can receive technical information such as your IP address and page address. The website stores your measurement choice and a short daily action marker so repeated actions are not counted again that day. We do not include names, email addresses, phone numbers, form answers or health information in our measurement events. Personalised advertising and enhanced conversions are not enabled in this installation.
You can accept or refuse optional analytics and advertising measurement when the choice panel appears, and change your choice later using the Analytics choices button on the website. Google measurement tags are loaded only after you choose to allow measurement. Necessary storage may still be used to remember your selection and operate requested website features. Refusing optional measurement does not prevent you from enquiring or booking.
